• Website and technical information needed to operate forms, prevent duplicate submissions, and maintain records.

We use the information to process vendor applications, manage approvals, handle event bookings, communicate with vendors, organise events, keep administrative records, and improve ExpoMedia services.

Approved public vendor profiles may show business name, category, and logo where available. We do not publish private contact details or business addresses on the public vendor directory unless you explicitly ask us to do so.

We may contact you by email, phone, or WhatsApp about your application, booking, event participation, payment, documentation, or ExpoMedia opportunities relevant to your vendor profile.

We do not sell personal information. We may share limited information with event organisers, venue teams, service providers, or administrative helpers where needed to run an event, process communication, confirm bookings, or comply with legal obligations.

6. Uploads and Documents

Uploaded files are used for reviewing applications, confirming bookings, checking vendor suitability, and managing event administration. Please do not upload documents that are not relevant to your ExpoMedia application or booking.

7. Data Storage and Security

We take reasonable steps to protect information stored through the website and admin panel. Access is limited to authorised ExpoMedia administrators and trusted helpers who need the information for event operations.

No online system is completely risk-free, so please contact us immediately if you believe your information has been submitted incorrectly or accessed without permission.

8. Retention

We keep application, vendor, booking, payment, and communication records for as long as reasonably needed for event administration, vendor history, financial records, dispute handling, and future ExpoMedia opportunities.

9. Your Rights

You may ask us to correct, update, or remove personal information where reasonably possible. Some records may need to be retained for administrative, legal, safety, or financial reasons.
